Rate Shop

We have introduced a new screen for quick rate shopping with minimal details required. Now, you can effortlessly compare rates and conveniently download and export the results.

  • Navigation: Navigate to the Rate Shop screen via the top menu.
  • Preferences:
    1. Default Location: If you have access to multiple locations, the Rate Shop screen will automatically default to one.
    2. Default Integration: If multiple source systems are available to you, the Rate Shop screen will default to one.
    3. Default document ref types: If multiple reference document types are accessible, they will be defaulted in the Rate Shop screen.
    4. Default Shipment date: This will automatically be set to the current date.
  • Details Entry: Enter details for Ship From, Ship To, and Shipment Information on the left side of the screen.
  • Packing Information: Add Packing information such as package type, weight, LTL Class, whether stackable or turnable, etc.
  • Submit: Click on the Submit icon on the right side.
  • Results: A comprehensive, consolidated list of carriers offering shipment rates will be displayed.
  • New Feature: Introduced the "Quote ID" column to enhance tracking and reference capabilities in our report.

  • Grid Action Enhancement:
    • Download Icon: Allows downloading the report in Excel format. Note that the Excel report does not specify which carrier was used for shipment.
    • Print Icon: Enables printing of the current screen.
    • Refresh Icon: Allows to refresh the carrier list information.
    • Setting Icon: Allows adding, removing, and rearranging columns.

Rate Shop History

To enhance shipment tracking and carrier comparison, we made significant updates to our Rate Shop History feature.

  • Key Enhancements:

    • Carrier Tracking: Each rate shop history will now record the carrier used for shipment.
    • Rates Tab: This tab now consolidates a comprehensive list of carriers offering shipping rates, making it easier to compare and select the best option.
    • Excel Download: Allows to download the rate shop history as an Excel file for offline review. Note: Excel report will not specify the carrier used for the shipment.
    • Selection Highlight: The selected shipping carrier is prominently highlighted, with an arrow indicating a detailed list of associated charges. This visual cue helps in quickly identifying the chosen carrier during the rate comparison.
  • Steps to Access Rate Shop History:

    • Navigate to the Shipment Screen via the top menu.
    • Click on View for the selected shipment.
    • Proceed to the Rate screen to see detailed rate comparisons and history.

Copy/Clone Shipment

The Copy/Clone functionality has been introduced to streamline the process of duplicating shipments. Users can now clone an existing shipment and generate a new one that is ready to be shipped.

  • Steps to Use the Copy/Clone Functionality:
    • Navigate to the Shipment Screen via the top menu.
    • Click on the arrow next to the View icon for the shipment need to copy or clone.
    • Select the Copy icon located under the View icon to initiate cloning.

Shipment Upload Document

Allows you to upload documents to an existing shipment for reference purposes. This enhancement is designed to streamline your workflow and improve documentation.

  • How to use:
    • Navigate to the Shipment Screen using the top menu.
    • Click on the arrow next to the View icon for the shipment to which you want to upload documents.
    • Select the Upload Document icon located beneath the View icon.

  • On the Add Documents Screen, choose the Document Type and provide a Description. Then, upload the documents and click Done to complete the upload process.

Surcharge Report

An enhancement to the reporting module that now includes detailed information about shipment surcharges. In the latest update to our shipment report, accessible via Excel, we have introduced a new sheet labeled 'Surcharges'. This sheet is conveniently positioned next to the 'Shipments' sheet and encompasses all relevant details of surcharges, including the corresponding Shipment ID and Tracking ID for easy reference.

  • Steps to Access the Surcharges Report:
    • Navigate to the Shipment Screen via the top menu.
    • Select the 'Export Excel' icon under shipment options.

  • The master export will be downloaded, which includes both the shipments and the new surcharges sheet.

Forced Cancellation

Users can now cancel shipments directly from the local interface, even if the carrier integration returns an error. This feature ensures that operational efficiency is maintained regardless of external system issues.

  • How to Use the New Feature:
    • Navigate to the Shipment Screen via the top menu.
    • Click on the Action icon, then select the TMS Cancel option.

  • Click on Cancel to finalize the cancellation process.

LTL Class Calculation

With this new release, a significant update has been introduced to the ship screen: the automatic freight calculation feature.

  • Details:
    • Automatic LTL Class Calculation: Users can now experience the ease of automated LTL class within the ship screen. Once you pack all your packages and assign a unique package ID, simply enter the weight and dimensions of each package. Piyovi will instantly calculate the LTL Class.
    • Display in LTL Class Column: The calculated freight will be displayed in the LTL class column.

Spot Quote Enhancement

Apply bid

With our latest software update, we are introducing an enhanced feature that simplifies the bid application process for our users. When a bid is accepted, the system now automatically saves all related shipment information to your records. This feature is designed to reduce manual data entry and ensure that shipment records are updated with the most accurate and up-to-date information instantly.

  • Steps to Use:
    • Apply for a Bid: Navigate to the bidding section and click on Apply next to the bid that has been accepted. This action initiates the automatic saving of shipment information.
    • Information Updated: The shipment record will be automatically updated with the following essential details:
      • Carrier and Service Level
      • Freight Cost
      • Tracking Number
      • Estimated Delivery Date
      • Documents
      • Special Services

Enhancements to Quote Creation

  • Document Upload Capability: In our ongoing efforts to streamline the quote creation process, we have introduced a new feature that allows users to upload documents directly while creating a quote. This enhancement is designed to make it easier for users to include all necessary documentation in one seamless step, improving both efficiency and user experience.
  • Special Services Selection: This new feature enables users to tailor their quotes more precisely by selecting from a range of special services that best suit their specific needs. This customization option aims to provide users with greater flexibility and to accommodate unique requirements more effectively.

Spot Quote Comments

####Quote Comment: The new Spot Quote Comments feature is designed to enhance communication by enabling users to add specific comments linked to a quote ID. These comments are then shared with all selected carriers. This feature streamlines the process of communication, ensuring that all relevant parties have access to the same information simultaneously.

  • Steps to Use:
    • Locate and click on the Comments. This icon is positioned adjacent to the View Icon.

  • After entering your comment in the popup, click on the Submit to finalize the process.

  • Once the comment is submitted, all selected carriers linked to the quote ID will be automatically notified via email.

####Request Comment: With this new feature, users can now add comments tied specifically to a Spot quote request ID. This functionality allows for more precise and targeted communication with carriers, facilitating clearer and more effective interactions.

  • Steps to Use:
    • Locate the Comments Icon on the Spot quote request page.

  • Click on the Comments to open the comment popup.
  • Type your message or comment in the provided text field.

  • After entering your comment, click on the Submit to send your comment to the designated carrier.
  • After submission, the carrier associated with the Spot quote request will be notified via email. This ensures that the carrier is promptly informed of your comments, facilitating timely responses and actions.

####Bid Comments: This feature allows users to add and view comments associated with a specific Bid ID, facilitating more targeted and efficient interactions with carriers.

  • Steps to Use:
    • Locate the bid of interest in the spot quote screen.

  • Click on the Comments present in the corresponding bid row. This action will open a comment popup window.

  • In the popup window, an area is provided to type your comment. Enter comments to communicate with the carrier.
  • Once entered comment, click on the Submit to send your comment.
  • After submitting comments, the carrier associated with the Bid ID will be notified via email. This ensures that the carrier is aware of inputs and can respond or act accordingly.

Spot Quote Documentation Enhancement

Significant enhancements to the Spot Quote documentation feature within our platform. These updates make it easier for users to access, view, and manage documents linked to both quotes and bids.

  • New Features:
    • Document Viewing and Downloading Capabilities: Users now can view and download documents directly from the Spot Quote interface. This functionality is available for documents associated with both the quote and bid sections of the platform.
    • Download Icons in Quote and Bid Sections: To facilitate easy access to documents, download icons have been added to both the quote section (Section A) and the bid section (Section B). These icons are clearly visible and can be used to directly download the associated documents.

  • Quote document Download:
    • Viewing Documents: Users can preview the document submitted with the quote.
    • Downloading and Printing: Users can download the document for offline access and print it if needed.

Spot Quote Grid Options

New improvements to the Spot Quote Grid functionality in the spot quote screen, available for both quote and bid sections. These enhancements are designed to provide more control and flexibility over how you view and manage your data on the spot quote screen.

  • Key Features:
    • Auto Size Columns: Automatically adjusts the width of all columns to fit the data displayed. This feature ensures optimal visibility and organization, making it easier to review and analyze your shipment data effectively.
    • Column Customization Options: Enhance your viewing experience with customizable column options. Users can now select which columns to display, determine their preferred order, and set the sorting criteria.

Enhanced Bid Charges Feature with New Fuel Surcharge Category

This update allows users to easily identify and differentiate fuel-related charges for each shipment, streamlining cost analysis and improving transparency. This enhancement is designed to provide clearer insights into the costs associated with each shipment and assist in better financial planning.

  • How to Access the New Fuel Surcharge Category:
    • Click on the arrow button.

  • You will now see a separate line item labeled 'Fuel Surcharge.'

Carrier Bidding Enhancement

  • Bid Messages: Bid Messages provide a seamless way for carriers to communicate directly with clients. This feature is aimed at improving transparency and ensuring that all parties are well-informed throughout the bidding process.

    • How to Use Bid Messages:
      • Navigate to the carrier bidding screen.
      • Click on the Messages within the Bid details section.

  • Once you click the Messages icon, a popup will appear on the right side of your screen. This popup window serves as the communication hub where you can view all message exchanges.

  • To send a new message, simply type your message in the space provided at the bottom of the popup and click the Submit button. image.png

  • After a message is submitted by a carrier, an automatic notification is sent to the client via email. This notification ensures that the client is promptly informed of new communications, which they can review and respond to accordingly. image.png

  • Bid Documents Download: Enhanced the bidding process by introducing a new feature that allows carriers to effortlessly view, download, and print the documents they have submitted during the bidding phase. This feature aims to streamline access to critical bid documents, enabling carriers to manage their submissions more effectively.

    • How to Use:
      • Locate the bid within the bidding section of the platform.
      • Click on the Download available in the bid details section. This will allow to view a list of all the documents you have provided as part of the bid.

  • Carriers can view each document directly on the platform to ensure it is the correct file.
  • To download a document, select the desired files and confirm the download. Documents will be saved to the designated download folder or chosen location.
  • Carriers also have the option to print the documents directly from the platform if physical copies are needed for records or further review.

  • Edit Bid – Document Upload Capability: Carriers can add documents to their bids after submitting their bids. This feature is designed to streamline the process of uploading necessary documents directly linked to the quote ID, thus improving the efficiency of bid management.

    • How to Use:
      • Navigate to the carrier bidding screen.
      • Locate the Bid Details section where bid is displayed.
      • Click on the Edit corresponding to the bid you want to update.

  • Once you click Edit, an Edit Bid popup will appear.
  • To add documents, click on the Choose File within the popup. This allows selecting the documents from the device.
  • After attaching the documents, click on the Submit button at the bottom of the Edit Bid popup.

The documents will then be uploaded and linked to the respective quote ID. You will receive a confirmation email once the upload is successful.

  • Submit Bid Enhancements: This update introduces two new rows: ‘Fuel Surcharge’ and ‘Documents’, designed to streamline the bidding process for carriers and provide more clarity on costs and requirements.

    1. Fuel Surcharge: Carriers can update the fuel surcharges directly while submitting a bid. This new feature allows carriers to adjust their bids to reflect current fuel prices, ensuring that all costs are accurately represented in their proposals.
    • How to Use:
      • When filling out the bid form, you will find a new field labeled 'Fuel Surcharge'. Enter the appropriate surcharge amount based on current fuel costs. This amount will be automatically factored into the total bid amount.

    1. Documents: Carriers can now upload any necessary documents related to their bid in this new section. This enhancement is designed to simplify the documentation process, making it easier for carriers to provide all required information in one go.
    • How to Use:
      • In the Submit Bid form, you will notice a new section titled 'Documents'. Here, Files can be uploaded directly related to the bid submission.

  • Messages: This feature allows carriers to add messages directly associated with quotes, fostering clearer and more effective communication.

    • How to Use the Feature:
      • Navigate to the carrier bidding screen.

      • Click on the Message. This will open the Quote Messages popup. image.png

      • Type your message in the provided text area at the bottom of the popup.

      • Once your message is composed, click the Submit to send the message.

  • After submitting your message, an email notification will be automatically sent to the client from the carrier.

  • Spot Quote Information Enhancement: This update introduces three key improvements designed to provide carriers with more detailed and actionable information directly on the carrier bidding screen.

  1. Documents: To streamline the bidding process and ensure carriers have all necessary information, introduced the ability to download quote-related documents directly from the carrier bidding screen. This feature aims to enhance transparency and preparedness, allowing carriers to access shipment documents.
  2. Special Services: Visibility into client-selected special services is now available. Carriers can view the specific additional services requested by clients for each shipment.
  3. Package: A new column has been added to provide further details about the packages involved in the shipment. This column includes information on whether packages are Dangerous Goods (DG), stackable, or turnable. The addition of these details helps carriers better understand the physical logistics required for transporting the packages, ensuring safer and more efficient handling, and stacking during transit.
